
How to Rent
Step 1: Pick Equipment (Request a Quote)
Select the equipment you want a quote for, choose your pickup/return dates, and submit your request on our website.
Or email your equipment list to service@spherical-production.com.
Step 2: Review & Confirm Your Quote
We’ll email you a final quote within one business day. You can request adjustments before confirming. Confirmation must be written via email — no verbal confirmations.
Step 3: Complete Pickup Requirements
Once your order is confirmed, we’ll email all requirements and notify you when your order is ready for pickup.
Step 4: Pickup & Return
Unless otherwise agreed in writing:
Pickup: After 1:00 PM on the rental start date
Return: Before 12:00 PM on the return date
Late returns:
12:00 PM–5:00 PM: Half-day charge
After 5:00 PM: Full-day charge
‼ Partial returns do not stop late fees—charges continue until the full order is returned.
Step 5 — Loss & Damage (L&D)
After QC, we’ll email a report for any loss or damage with photos and a detailed line-item invoice. If there is no loss or damage, we’ll email confirmation that the order is closed.
Requirements to Complete Prior to Pickup
All requirements must be completed prior to pickup unless otherwise agreed in writing
1. Rental Agreement
Sent via DocuSign for signature.
2. Credit Card Authorization Form
Sent via DocuSign for signature. Required for all orders unless you are using a card already on file.
3. Payment
All rental fees must be paid in full prior to pickup, unless otherwise agreed in writing.
If payment is not received by the agreed due date, Spherical Productions may delay processing, withhold equipment, or cancel the order.
Reservations require 100% prepayment to confirm unless alternative terms are approved in writing.
Payment options (as listed on your invoice):
No-fee: Zelle, ACH
3% convenience fee: Credit card charges, online payment links
4. Certificate of Insurance (COI)
COIs must be issued to:

For replacement value under $10,000
- You may opt out of providing insurance, but an insurance waiver fee equal to 10% of the rental fee will apply.
- Opting out does not cover the equipment—you remain responsible for 100% of repair or replacement costs in the event of loss or damage, plus any continuing rental fees while items are serviced or replaced.
- A credit card authorization hold is required as a deposit.
For replacement value over $10,000
- Insurance is required unless explicitly waived by Spherical Productions.
- Your policy must cover the full replacement value of the rented equipment (shown at the bottom of your Quote/Invoice).
- Coverage must be valid for the entire rental period.
